Q1. My old database program stores company information in a "flat file" with each contact name in a separate field. For example, CONTACT1, PHONE1. CONTACT2, PHONE2. CONTACT3, PHONE3. How could this type of import be done with MergeMAGIC?
A1. With MergeMAGIC and this situation, you would need to make two passes on the data. The first pass would be used to move CONTACT1, PHONE1 (along with the appropriate company info) into the main customer record and would also assign CONTACT2, PHONE2 to one record in an additional contact database. Q2. I have an accounting program that lets me export sales information and I want to have this information available to me while in Easy Contacts CRM Enterprise Edition, either in the main company or related record. How can this be done?
A2. If your accounting program allows you to export a field which you can match up on in Easy Contacts CRM Enterprise Edition (an account number or customer number, for example), and if the program will let you export the data in ASCII, dBASE or FoxPro format, then it will be easy for MergeMAGIC to update Easy Contacts CRM Enterprise Edition. You have your choice of updating the main customer record or moving the information into an additional related database. Q3. I need to move the primary contact name and address info into an additional contacts database. Can MergeMAGIC do this?
A3. This is easy to do. Just treat the main contact database as an import file and import the data into the appropriate fields in the additional contacts database. Top of FAQ
Q4. My old contact manager/company database has one record for each contact person in the company. How does MergeMAGIC handle this situation?
A4. You have two options. The first is to duplicate what you already have in the old program in Easy Contacts CRM Enterprise Edition. This means you would import your company data so that each contact would have its own Easy Contacts CRM Enterprise Edition record. The other option would be to have all of the contacts for a company, after the first, go into an additional contacts database related to the first. If you needed to make sure that only certain records were assigned to the main customer record in Easy Contacts CRM Enterprise Edition, you could make two passes on the data.
The first pass might filter on a specific title, such as president. Then the initial record would be created with the president of each company. The second pass could force the records of any title other than president to go into the additional contacts database. Top of FAQ
Q5. I need to import data from three separate databases into Easy Contacts CRM Enterprise Edition. The information is related by a key field (one that is present in each of the three databases). I need to move some data into the primary customer record, some data needs to go into various related records and some consists of additional contacts. Can MergeMAGIC be used in this situation?
A5. The important thing here is that you have a common field in each database that you want to import from. Because of this, you will be able to create an import script for each database that matches up on this common field. A7. MergeMAGIC for Easy Contacts CRM Enterprise Edition needs the help of an additional product to do all you ask. This product is called the MagicACT!. It allows you to convert all of the information you mentioned into separate FoxPro tables. As it is converted, it formats the data to look like it was entered into Easy Contacts CRM Enterprise Edition. Then you use MergeMAGIC to bring in the data into the appropriate files in Easy Contacts CRM Enterprise Edition. The end result is that all of the information ends up in the right place, formatted as if it were typed into Easy Contacts CRM Enterprise Edition in he first place. Q8. I get updates to my import database once a quarter. Will I have to enter my merge criteria each time I get an update disk? Will the information get duplicated?
A8. No, all of the details of a merge are stored in a script file. All you have to do is select the desired script and run it. You can even create an ICON on your computer so that you only have to click on it to start the merge. The information won't be duplicated, provided the incoming data has a matching value in Easy Contacts CRM Enterprise Edition. For example, an account number or other identifying matching field. Q9. The database I want to import into Easy Contacts CRM Enterprise Edition does not contain a last name field. It only contains the full name of the contact. Will I have to leave the lastname field blank or use a Easy Contacts CRM Enterprise Edition replace function later to create such a field?
A9. MergeMAGIC has a special function to handle this problem. It is the LASTN() function. When creating an import script, just use the field editor to specify the desired formatting function, and MergeMAGIC will take care of it for you. This saves you time when bringing in your data. Top of FAQ
Q10. I just need to import only contacts that don't already exist for a company. In other words, the list I need to import from also includes contacts I already have in my Easy Contacts CRM Enterprise Edition database, plus new ones I don't already have. Will I have to import the records first and then do a Merge/Purge to get rid of the duplicates?
A10. No, you don't need to go through all of that. You just tell MergeMAGIC you want to do an import and instruct it to do an "add only" merge. Then MergeMAGIC will automatically skip records that already exist, adding only those records that are new. Each incoming record must have at least one matching field in the company so that MergeMAGIC can assign the contact to the proper company record. Top of FAQ
Q11. My problem is just the opposite. I only want to update existing contact records with the incoming record data while ignoring any new ones. How does MergeMAGIC deal with this?
A11. As you said, this is just the opposite of the previous question; however it is solved just as easily. Just tell MergeMAGIC to do a "Merge Only" merge. Existing records are updated while new records are skipped. This of course can only occur if MergeMAGIC has one or more fields it can use to identify matching records for updating. Top of FAQ
